A practical guide to turning a benefits question into a first appointment
You may know how to use your work benefits for a dental visit or new glasses. Counselling can feel less straightforward. Is a social worker covered? Do you need a referral? Is the employee assistance program the same thing as your extended health plan?
If support has stayed on your “later” list, September is a useful time to turn those questions into a manageable next step. Your workplace benefits may help with eligible counselling costs, but the details depend on your own plan and the professional providing the service.
Start with the provider category
Look for mental health, counselling, psychotherapy or paramedical services in your benefits booklet. Then read the eligible provider list. A plan that covers one professional designation does not necessarily cover every person who provides counselling. Manulife’s guide to mental health professionals makes this distinction explicit: coverage differs between plans. [2]
Clear Water Integrated Health offers counselling with Registered Social Workers. Ask for the name and registration details of the clinician you may see, then confirm eligibility with your insurer. Clear Water provides receipts that include the social worker’s registration number for submission to an insurer. Reimbursement remains subject to your plan. [1]
Ask questions that give you usable answers
Before your first paid appointment, ask your insurer: Does my plan cover counselling with this Registered Social Worker? How much coverage remains? Is there a maximum per visit or a percentage that I pay myself? Is the allowance shared with other types of practitioners? Do I need a referral or pre-approval?
Also ask when the benefit period ends and how long you have to submit a receipt. Save the answer or confirmation reference with your benefits information. If you are arranging care for a partner or child, check that person’s eligibility and the rules for the specific service, including couples or family counselling where relevant.
Understand the difference between EAP and extended health benefits
An employee or family assistance program may offer short-term counselling through its own access process and provider network. Extended health benefits may reimburse eligible appointments with an outside professional. These are separate routes, even when both appear in the same benefits package. Manulife describes an EFAP pathway and a separate extended health coverage option for ongoing eligible care. [3]
Do not assume that Clear Water appointments are included in your EAP or that EAP authorisation transfers to another provider. Ask the program directly. If you are looking for counselling beyond an EAP, we can discuss our services while your insurer confirms the financial details.
You can begin with an everyday concern
You do not have to arrive with a polished explanation. Perhaps you are replaying work conversations at night, snapping at people you care about or finding it difficult to switch off after a busy day. You might want help with a relationship, a transition or something that has felt stuck for a while.
One sentence is enough to open a conversation: “I am getting through the week, but I do not feel like myself.” A consultation is a chance to ask about the approach, service fit, fees and appointment format. It is separate from a counselling session or clinical assessment.
Make the appointment workable
Consider when you could attend consistently and where you would have privacy for a virtual appointment. Ask our team about current scheduling options and the format suited to your needs. A benefits allowance is one part of the decision; a workable plan for care matters too.
If you are an HR professional or manager, you can share this guide and our consultation link as an optional resource. Employees can contact us directly to ask about services. There is no need to collect their personal counselling concerns to share the information.
